System update - 5th September 2009

myworkspace had another big update on Saturday 5th September.  Some great new features are now ready to use ... here's a snapshot of what you will find!


CRM / Business Management

  • new.png Time Zone management - when a user logs on to the system it stores what time zone the person is logged in as against their user record. This time zone is now used to provide more accurate 'time created/modified' information recorded against actions created by co-workers in other time zones, messenger conversations etc.

    There is a new profile setting on My Profile called 'Show Entered Time' with options of 'Never', 'Based on Standard Settings' and 'Always'.  This will show the time (ie in the data edit area of records) if it was entered in a different timezone. For example a record created by Jimmy Smits in Paris and viewed by you in Sydney would show
    Created By Smits, Jimmy Created Date 20 Aug 2009 08:53:47 [20 Aug 2009 00:53:47 their time].

  • new.png Customer Order System Template  - The products 'tag' in the customer orders document template now asks if you want to display the product prices Pre GST/VAT or not.  
  • new.png Survey Extra Tabs - when setting up a survey to be used an extra tab within a person, business or opportunity record, you can now specify the display size of the text fields. Previously all text fields had defaulted to a multi line text box, however now you can have single line text boxes as well.  Just select the option from the drop down.

  • warning.gif Email - there is a new profile setting on the Message Account Setup to assist the small number of people who have experienced difficulty in replying / forwarding emails that have originated from a Microsoft source. The new flag 'Reply / Forward Safe Mode' (when set to Yes) sends the original Microsoft sourced email in its text version rather than its HTML version.

  • new.png Bulk... form - the 'bulk' link at the bottom of all advanced search results with person information included is now called Use List (Bulk) >> and has been updated to allow a list of people to be linked to a specified person group / type.  This is in addition to the existing options to print a mail-merge document, send bulk emails & sms, and to add people as invitees to an event.

  • News - the tracking tab of a News article has been changed to show the summary information / overview of click opens and clicked links. To see the detail click on the News Tracking Assistant >> link at the top of the Tracking tab. This assistant will be further enhanced in the next update to allow for filtering.

  • new.png News Unsubscribe Text - it is now possible to specify your own text for the unsubscribe link that appears at the bottom of all email news.  If you leave the unsubscribe text field blank it will default to "If you do not wish to receive this type of email in the future, click here.". If the text you specify has the words 'click here', those 2 words will become a link, otherwise the whole text will be the link.

  • new.png News Multiple Person Types/Groups - you can now send your news article to as many person types/groups as you like at the same time. On the Sharing tab, hold down the CTRL key and then click all relevant types/groups from the drop down. Click on Save to see which people will be included in your email news.

  • new.png SMS Gateway Provider - system administrators now have the ability to set up their own SMS Gateway Provider logon details for either of the supported providers (Messagenet and SMSGlobal). There is a link on the My Mobile Profile and My Messaging Profile (both within the My Systems Details menu) to set up this information.

  • new.png My Start Page - every business can now link a document to their My Start Page. Click on My System Profile ---> My Navigation & General Profile ---> Pages tab to link to your document.  Great for tailoring the first screen your team sees when they first log on!

  • new.png Email attachments - when you attach a file of over 8MB to an email and click on send, a pop up will appear warning you that depending on the recipient's email system an attachment of this size may not be able to be received. The email is still sent.

  • new.png Smart Quick Search - the new default quick search is called [Smart]. If you type in an exact match for an invoice or expense (ie INV001280) the system will work out that you are searching for an Invoice and take you to it. If it doesn't understand what you are searching for it assumes you are searching for contacts and will show you the contact search.

  • Print / Send / View icon - on forms that use document templates (ie person, invoice, orders etc) the standard Print icon print.jpg as been replaced with a more intuitive Print / Send icon printsend.jpg .
  • My Profile - has been updated to use tabs. See the My Profile help text for more information. 
  • Website Enquiry Forms - each text field on a website enquiry form is now restricted to 1000 characters.  This is due to spammers attempting to use enquiry forms to insert large amounts of text and links.

  • Event Registration - when customers pay for an event online, the automatically emailed invoice now uses the default Invoice Template.

  • SMS Sending - minor change so that the text count works correctly in Firefox.

  • News - when clicking on the News icon in the footer there is now a Polls tab where any quick polls that are available to you can be completed.

  • new.png Website Enquiry Forms - the field 'Mobile' has been added to the list of available fields in the customised Request / Enquiry form.


Financials / Accounting

  • new.png Invoicing Dashboard - it is now possible to set up a dashboard based on calendar month invoicing totals ... a great way to see how your business has been tracking for sales.  Dashboards can be set up to show on MyStartPage, in Express, from the Reports menu in the Dashboard Browser, or set it to go out in your automated Daily News eMail.  Set it up via My Profile ---> My System Profile ---> My Dashboard Profile.

  • Payroll Assistant Setup - this form has been updated to use tabs.

  • new.png Invoice Document Template - when you select an amount tag in the template (ie amount due, amount received) you can specify whether you see the amount as it was before or after Credit Notes were applied to it. 

  • new.png Statement Import - it is now possible to link a receipt to multiple invoices, and a payment to multiple receipts, through the statement importing area.

  • new.png Financial Position Alert - on the automation tab of Financials Profile it is possible to set up that a weekly financial position alert be sent out. Set this to 'yes' and every Tuesday morning all people with Financials Admin security rights in your business will be sent an email with the financial position of the business. Currently it contains your GST Liability however we will be adding to this over time!

  • ABA Files - Bank Transfer date has been added to the grid of previously created ABA files.

  • VAT Report (UK clients) - the field Reference has been added to this report, showing the Expense / Invoice etc reference number.

  • Account Balances Report - you can now filter this report by Area.

  • new.png Invoice Summary Box - there is now an overview summary box on the right hand side of the invoice screen showing total amount, amount received, amount credited and amount still outstanding.

OTHER ENHANCEMENTS ADDED SINCE THE JUNE UPDATE:

Prior to this September update, we have also added the following enhancements along the way!

  • Contacts Import - has been updated so you can now import a csv spreadsheet of existing contacts to associate them to new person types/groups and business types/groups (the contact information isn't updated)  
  • Survey Edit Security - to add / edit a survey the user must now have Admin rights for Surveys / Decision Assistant.  You must also be a member of whichever groups the Survey has been shared with on the Sharing tab or you have to be the user that created the Survey originally. 
  • Documents Advanced Search - the Next Revision Date field is now able to be searched upon
  • ABA Files - additional checking of the length of the reference fields is now done
  • News - can now specify a particular email address that the news article uses as the 'from' email address, rather than using the address of the person logged on who is sending the News out.
  • Opportunity - it is now possible to edit an opportunity processing status and notes
  • Product Orders - there is a new report called Product Orders Summary
