General 1. Attachment & Actions Numbering The Attachments link at the top of screens no longer counts the exact number. It shows (0) if no attachments, and (1+) when there are one or more attachments. This is also the same for Actions/Activities link.
2. Business Summary Now only loads the contents of a tab when you click on it. So all the financial information doesn't calculate automatically when go to business summary, it only loads when you click on Debtors for example.
3. Buttons at top and bottom of screens Following feedback from end users, we have changed it so that the Save, New etc buttons that appear at both the top and bottom of all forms will only show at the top by default. For touch typists, and those who like being able to find a Save button when you need one, there is a profile flag to set this so they still show. Click on My Profile, set 'Repeat Buttons At The Bottom Of The Page' to Yes.
4. Attachment Locking and History You can put locks on attachments. This is used for sharing documents between people, one person can be working on the document and have it 'locked' so others cannot download it or upload over it. A request can be sent to the person who locked it so that they can unlock it again. This is set up via My Profile, My System Profile, My Security Profile.
Replacement History - allows you to keep a history of when a file gets replaced. A tab shows on the attachment showing who, when and with what a person replaced the attachment. This is set up via My Profile, My System Profile, My Security Profile.
5. Birthday Report Changes The Birthday report has been refreshed and updated. There are no longer links on every day of the week in the diary - there is a single link under the < > buttons that will take you to the birthday report, showing the birthdays for the date range of your diary. The birthday report is still accessible from the Contacts area where you can select a tab for a particular month, or choose specific days
6. Document Copy Ability to copy a document from within the Document Browser area.
7. Move Person between Businesses There is now a forced process if you wish to move a person contact record between businesses. For example if John Smith no longer works for Smith's Electronics but now works for John's Plumbing. On the contact record you can click on the 'Move' button next to the business name and choose whether you are moving this person's record to another existing business, or merging them with another existing PERSON record.
When you select another business it moves ALL records associated to that person across to that new business. For example, actions, emails sent or received, attachments, invoices and expenses. It does not however move receipts or payments across.
When you select to merge this person record all those records are moved to be attached to the selected business / person including person types. The original record still exists, but is stripped of all this information.
8. Adding Contact from an Email When adding a new contact from a received email, the new contact is now recognised by the inbox as existing and is no longer highlighted as possible unsolicited mail.
9. Improvements to Online Ordering via your Website You can setup promotional codes that can be entered when ordering a product online. This is done via Pricing Groups within the Product area. This allows a customer to access a price diferent than the standard retail pricing.
10. New automated reports a) User Report. There is now a report that can be run at any time from My Profile, My System Profile, View User System Access History, Users that haven't logged on in past fortnight. This report will also be automated to run once a month around the 15th to all system administrators of a business.
b) Milestone Tasks Report. This report gets emailed to people with a milestone task that is overdue or due to be completed within the next 7 days.
11. Add Actions from Diary You can now double click on a cell in the diary screen and it will open up a new action with the date and time defaulted to that cell. Ie double click on Tues the 5th June at 11am and a new action screen opens up with that date and time.
11. Project Updated Look We have split the project form up into tabs for ease of use.
Payroll 1. Pay Assistant Update The entire payroll assistant has had an update and refresh of look. Below is an overview of these changes:
- Each pay period now has tabs: one to show the employee payment information and another to show the actual expense items (salaries, tax and superannuation).
- We are now accruing Sick Leave and Long Service Leave entitlements
- There is a new Entitlement Report available from Pay Assistant, Reports.
- You can now easily email out payslips to all or selected people within the pay period.
- You can now remove an employee from a particular pay, or add in a new one without having to recalculate the entire pay.
- You can also now pay an employee for multiple pay periods at once and have it calculate the relevant tax.
- If an employee has multiple pay rates for the one pay, these are split to show on their pay slip also with year to date totals.
- When an employee is removed from a pay period, their leave entitlements are now updated correctly.
- NZ Special Student Loan rates are now handled.
- The handling of Superannuation has been improved and extended.
- When a pay period is closed, it is now possible to still link to see the employee details from a pay period.
- When you have the profile flags set to automatically create the expense records and mark them as paid, the date of payment is set to the date of pay period, irrespective of when you actually paid them.
- Partner Administrators are now able to reopen a pay period. It does not automatically delete the related expense records however, this needs to be manually managed.
