myworkspace Update 5th December 2009
- Maximum rows displayed in lists - there is a new profile item called 'Maximum List Rows per Page' which allows you to change the number of rows you see in a grid throughout the system from the default 20 to a number of your own choosing. Please note there are some grids in the system that are not 'standard' and will not respond to this setting, such as the Manage Attendees page. Update this setting via My Profile ---> Settings tab.
- My Navigation Profile - there is a new profile item on the 'Other' tab called 'Set Send Email News on Contact to..' which determines whether the Send Email News default is set to 'Yes' or 'No' when creating a new person record.
- Recurring Actions - you can now delete as well as update a recurring action. For example if the weekly staff meeting changes from 9am to 10am you can update one action record and on save it asks if you wish to update all the other recurring actions into the future. It will not change actions for past days. Similarly if you delete a recurring action it asks if you wish to delete all future recurring actions.
- Opportunity Home Page - there is an additional tab of filtering options on the Opportunity Home page. You can now filter on business, person or product. On the main tab, you can now also filter on Opportunity Processing Status.
- Advanced Action Search - the advanced Action search has had a major redesign, showing what advanced searches will look like in the future! There are now two tabs for filtering on the action search - action details and person details. When you select fields and filter and then click on Search it refreshes the screen and the results grid is displayed as well as the two filtering tabs. The filtering you used in your search is retained so you can continue to refine your filtering to get the exact report you require.
- Skype - there is now an icon/button next to all phone numbers and the skype name throughout the system. When you click on the link next to a phone number it will start calling using Skype.
- Business Relationship Tab- on the business contact record there is now a Relationship tab where you can easily create relationships between businesses. There is also a new relationship type of 'parent business' to assist in linking businesses together.
- News Tracking Filtering - there is now additional filtering on the News Tracking page to filter by date range and the different links.
- File Imports - the file import area (My Profile ---> My System Profile ---> Import/Upload Information) has been improved so you can attach the file to be imported in a single step.
- Supplier Order line item - GST Type is now showing on the first tab of the supplier order form.
- Products - Customer Orders Report - relationship manager security is now implemented on this report.
- Website Setup (My Online Profile) - this page has been refreshed so that you can click on the section headers as well as the Next buttons (they do the same thing!) and there are now additional links to make it quicker to get to areas such as Website Attachments, etc.
- Website Enquiry - mobile phone is now a standard field that is displayed in standard enquiry forms.
- Website Enquiry - you can now specify which 'Source of Contact' codes are displayed to the public in the 'How did you hear about us?' drop down on website enquiry forms.
> Go to My Profile ---> My System Profile ---> Add/Manage Source of Contact Types.
- Connection Speed Test - the connection speed test has been returned to the My Profile 'Other' tab.
- Updated PDF Creator - we have upgraded to the latest version of the PDF Creator software ... the main impact on this for you is a noticeable improvement in the time to create a PDF.
Financials / Accounting

Creating a PDF from an Invoice - when you create a PDF from an invoice template the file name is now automatically created as [Invoice] - [invoice number]. ie Invoice - INV001234.PDF. Similarly for Orders.

PDF settings - when creating a PDF from an invoice the settings for left, right, top and bottom margin can be rendered differently than the print/view mode. You can specify your own margins for the creation of an invoice PDF via My Profile ---> My System Profile ---> My Navigation Profile ---> PDF tab.

Emailing Invoice as PDF - this now picks up the email address from the linked person on the invoice to automatically populate the email recipient field.

BAS Details - clicking on a More Details link now has which link you have clicked on. Ie G1 or G11 etc.

Sales by Customer Report - this report now has the GST-excluded value in a separate column.

Receipt form - the receipt form has had a major design revision to allow you to create the receipt and link the invoices being paid at the same time. It is possible to also edit how much of each invoice you are part receipting in the same step.

Payment form - the payment form has undergone the same design as the Receipt form.

General Journal Advanced Search - it is now possible to filter on general journal status (ie pending or finalised)

General Journals - can no longer unfinalise a general journal marked as reconciled in a bank reconcilation.

Creditor Report - when producing the Aged - Detail Creditors report the 'expense reference' and the 'payee reference' are displayed together in the Reference column.

Creditors Payment Summary by Date - this report now has the ability to email a PDF of each payment summary for each creditor (click the 'Send' button). The format of the payment summary is managed by a Document System Template.

Invoice Advanced Search - when producing the invoice advanced search you can now select any or all of the invoices in the search result grid to print, view or email the invoice(s). Selecting 'Print/View/Send' option from the drop down options menu takes you to the Invoice Template screen where you can choose to view/print or send the invoice(s) via Quick email. Please note if you select to View as PDF or Email as PDF only one PDF is created of all invoices selected.

Credit Note Quick Search - can now do a quick search for a Credit Note using the business name.
- Advanced Financial Searches - there is a new option in the date filter called 'Last Financial Quarter'. Expense / Payment / Invoice / Receipt Advanced searches have been updated so that when you click on 'Search' not only is the results grid displayed, the search criteria tab is still accessible. The filtering you used in your search is retained so you can continue to refine your filtering to get the exact report you require.

span>Auto Paying an Expense - when you auto pay an expense (or auto receipt an invoice) you are now taken to the payment/receipt record so you can update other information easily such as the transaction date.
- Payroll - on 'Pay Assistant Setup' you can now specify what default each payline type is. The standard default is 'Normal' however each business can set the default to what they require.
- Bank Statement Imports - there has been an update so that the Match / Link tab will not display if the transaction has already been transferred.
Financial Services
Person & Policy Report - there is now Premium details being displayed on the Person & Policy report in the Financial Services Reports section.
Commissions - it is now possible to move financial services commissions in bulk from one advisor to another. |
